1) Scope
This policy applies to information we process about: visitors to our website, users who create or access a Bill Saathi account, and their business data (e.g., invoices, delivery challans, stock entries, ledgers). It does not cover third-party websites or services that link to or integrate with our Services.
2) Information we collect
- Account & contact data — name, phone, email, company name, address, and login identifiers.
- Business & billing data you upload — customer/vendor details, HSN/SAC, products, delivery challans, invoices, receipts, part-payments, credit notes, and related attachments/notes. You control this content.
- Usage & device data — app and feature interactions, device type, OS, app version, language, approximate location (derived from IP), crash logs; collected to improve reliability and UX.
- Support communications — messages you send via our forms, WhatsApp, email, or phone; and metadata needed to resolve issues.
- Cookies/local storage — session state, preferences, attribution/UTM tags for analytics (see “Cookies & tracking”).
3) How we use information
- Provide, maintain, and improve the Services and core features (e.g., challan → invoice, inventory, GST-ready reports).
- Operate accounts, authenticate users, and secure access.
- Offer support, respond to queries, and resolve incidents.
- Measure performance, diagnose crashes, and plan new features.
- Send important service notices (e.g., feature, security, or policy updates).
- Comply with legal obligations and enforce our terms.
- Marketing (limited): inform you about product updates or offers; you can opt out.
4) Legal bases / Lawful use
We serve users in India and other regions. Depending on your location, our lawful basis may include:
- Consent — where you choose to provide data or opt in to communications.
- Contract — to deliver the Services you sign up for.
- Legitimate interests — to keep Services secure and useful (e.g., analytics, anti-fraud).
- Legal obligation — to meet compliance requirements applicable to us.
5) Cookies & tracking
We use essential cookies/local storage for authentication and session continuity. We also use analytics/attribution tags (e.g., UTM parameters) to understand product usage and improve onboarding. You can control non-essential cookies via your browser settings.
6) When we share information
We do not sell your personal information. We may share limited data with:
- Service providers (under contract) for hosting, analytics, error reporting, messaging, and customer support.
- Integrations you enable (e.g., WhatsApp API, e-invoice/e-way bill when available) to perform requested actions.
- Law enforcement or regulators when legally required or to protect rights, safety, and the integrity of our Services.
- Business transfers — in connection with a merger, acquisition, or asset sale, subject to this policy.
7) Data retention
We retain account and business data for as long as your account is active and as needed to provide the Services. When you delete records in the product, they are removed from active systems and then from backups after a limited window.
Fill these placeholders once confirmed: Backup retention window: [e.g., 30–90 days]. System of record / primary region: [e.g., India / Mumbai region].
8) Security
We use industry-standard safeguards, including encryption in transit (HTTPS), access controls, and routine monitoring. No method of transmission or storage is 100% secure; we continuously improve our protections.
9) Your rights
Depending on your jurisdiction, you may have rights to access, correct, update, delete, or port your information; to object or restrict certain processing; and to withdraw consent. We will respond within a reasonable timeframe and in accordance with applicable law.
